1. Overview

Q².iT provides estimating, quoting, project, invoicing, payment-tracking and related business tools for contractors. This Privacy Policy explains how Q².iT collects, uses, discloses, stores and protects personal information when you use our website, software and related services.

By using Q².iT, you acknowledge the practices described in this Privacy Policy.

2. Information we collect

We may collect information that you provide directly to us, information you enter into Q².iT while operating your business, and limited technical information generated through use of the service.

  • Account information, such as your name, email address and authentication details.
  • Company information, including business name, contact information, address, tax information, branding and quote settings.
  • Customer and project information that you choose to enter, including customer names, contact details, project locations, estimates, quotes, jobs, change orders, invoices, payment records and receipts.
  • Subscription and billing information. Payment card details are processed by our payment provider and are not intended to be stored directly by Q².iT.
  • Material pricing, supplier, estimating, labour, costing and other business information you enter or request through the service.
  • Technical and usage information, such as browser type, device information, IP address, timestamps, application activity, error data and security logs.

3. How we use information

We use personal information only for purposes that are reasonably related to operating, securing and improving Q².iT, including to:

  • Create and manage user accounts and subscriptions.
  • Provide estimating, quoting, project, invoicing, payment and receipt features.
  • Deliver customer-facing quotes, invoices, receipts and change orders when you choose to send them.
  • Save and retrieve your company, customer, project and job records.
  • Provide localized or live material-pricing functionality where available.
  • Process subscription payments and manage billing.
  • Detect abuse, prevent fraud, secure accounts and troubleshoot technical issues.
  • Improve Q².iT, its reliability and its user experience.
  • Meet legal, regulatory and contractual obligations.

4. Contractor-entered customer information

Contractors using Q².iT may enter personal information about their own customers, employees, subcontractors or other contacts. In those situations, the contractor is responsible for ensuring that it has the authority to collect, use and provide that information to Q².iT for the intended business purpose.

Q².iT processes that information to provide the service requested by the contractor and does not treat contractor customer lists as Q².iT marketing lists.

5. Service providers and disclosure

Q².iT may use third-party service providers to operate parts of the service. These providers may process information on our behalf for purposes such as application hosting, database services, authentication, payment processing, email delivery, analytics, security and error monitoring.

Current or planned infrastructure may include providers such as Supabase for database and authentication services, Stripe for subscription billing and payment processing, Vercel for application hosting, and email-delivery providers used to send transactional messages.

We may also disclose information where required by law, to protect the rights or safety of Q².iT or others, to investigate fraud or security incidents, or in connection with a business transaction such as a financing, sale, merger or acquisition.

We do not sell personal information as a standalone data product.

6. Processing outside Canada

Some service providers used by Q².iT may store or process information outside Canada. As a result, information may be subject to the laws of the jurisdiction in which it is processed and may be accessible to courts, law-enforcement or regulatory authorities in those jurisdictions where legally required.

7. Data security

Q².iT uses reasonable administrative, technical and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration or disclosure.

No online service can guarantee absolute security. Users are responsible for protecting their account credentials and for using appropriate security practices on their own devices and accounts.

8. Retention

We retain information for as long as reasonably necessary to provide the service, maintain business and financial records, comply with legal obligations, resolve disputes and enforce agreements.

Some information may remain in backups, audit records or legally required records for a period after an account or record is deleted.

9. Access, correction and deletion

You may request access to or correction of personal information that Q².iT holds about you, subject to applicable law. Where available, you may also update information directly through your account.

You may request account deletion. Certain information may be retained where necessary for legal, financial, security, fraud-prevention or record-keeping purposes.

10. Cookies and similar technologies

Q².iT may use cookies, local storage and similar technologies that are necessary for authentication, account sessions, security, preferences and application functionality. We may also use limited analytics or diagnostic technologies to understand service performance and improve Q².iT.

11. Electronic communications

Q².iT may send transactional communications related to your account, subscriptions, security, quotes, invoices, receipts, change orders or other actions you initiate through the service. These operational messages are separate from promotional marketing communications.

12. Children

Q².iT is intended for business users and is not directed to children. We do not knowingly design the service for use by children.

13. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date and may provide additional notice where appropriate.
